8.1 Point of Sale and Booking

The business will deploy an integrated POS and appointment management system (Fresha or Timely) to handle online bookings, walk-in management, client history tracking, inventory management, and daily/weekly/monthly reporting. The system will integrate with a card machine (iKhokha or Yoco) for contactless and card payments, and with Xero or QuickBooks for accounting.

8.2 Client Relationship Management

A digital client profile will be maintained for every visitor, recording their preferred styles, past services, product purchases, feedback scores, and visit frequency. This data will power personalised service delivery (the barber can review the client’s preferences before the appointment), targeted marketing campaigns (e.g., beard product promotions to clients who regularly get beard trims), and loyalty programme management.

8.3 Load Shedding Contingency

Operational Resilience

Given South Africa’s ongoing electricity challenges, The Blade Lounge will invest in a 5kVA inverter/battery backup system (approximately R25,000 — included in the fit-out budget) to maintain operations during load shedding stages 1-4. The system will power essential equipment: clippers, lighting, POS terminals, and the hot water geyser. For higher stages, manual barber techniques and gas-heated water will serve as fallback options.
